Management systems

Software that runs the day, not just records it

Most businesses do not need another website. They need the spreadsheet, the notebook, and the three WhatsApp groups replaced by one system that everybody actually uses. That is the work we do here.

Who this is for

Built for the people who'll actually use it

If one of these sounds like your situation, this service was designed with you in mind.

Pharmacies and distributors

Batch and expiry tracking, reorder alerts, supplier purchase orders, and sales reporting that survives an audit.

Retail and wholesale

Multi-location stock, point of sale, barcode workflows, and daily reconciliation that closes in minutes.

Clinics and services

Patient and appointment records, prescriptions, billing, and permissions tight enough for sensitive data.

What's included

Everything we build into this service

Each capability below is part of the build, not an add-on quoted later. If something you need is not listed, ask — it usually means we include it under a different name.

Inventory and stock control

Real-time stock levels, batch numbers, expiry tracking, reorder thresholds, stock transfers between locations, and adjustment logs with a reason on every change.

Role-based access

An owner, a manager, and a counter staff member see three different systems. Permissions are defined per role and per action, not bolted on afterwards.

Point of sale and billing

Fast keyboard-first billing, barcode scanning, split payments, returns, and printed or digital invoices in your own format.

Purchasing and suppliers

Purchase orders, goods received notes, supplier ledgers, and payable tracking so buying and stock stay in agreement.

Reporting and exports

Daily sales, profit per item, slow-moving stock, expiry forecasts, and staff performance — all exportable to Excel and PDF for your accountant.

Audit trail

Every create, edit, and delete is recorded with the user and timestamp. When a number looks wrong, you can see exactly who changed it and when.

Offline tolerance

Where the work cannot stop for an internet outage, we build the critical path to keep functioning locally and sync when the connection returns.

Data migration

We import your existing records from Excel, another system, or paper, and reconcile the totals with you before go-live.

The back-end

The admin panel is the product

In a management system, the interface your staff use eight hours a day is not a secondary screen — it is the entire product. We design it with the same care most agencies reserve for a homepage, because a cluttered admin panel is how good software ends up unused.

  • Keyboard-first workflows for high-volume data entry
  • Search that finds a record in one field, not four filters
  • Bulk actions for the jobs nobody wants to do one at a time
  • Clear empty states that tell staff what to do next
  • Printable views designed for the paper your business actually uses
  • Staff training session recorded for people who join later

How it works

Five steps, and you know where you stand at every one

No black box. You see the scope before you commit, the design before we build, and the build every week while it happens.
  1. Discover

    2–4 days

We learn how your business actually runs before proposing anything.

A working session to map your current process, the people who touch it, and where it breaks. For system projects this is the most important week of the build — a management system designed from assumptions instead of observation gets rebuilt.

  2. Plan

    3–5 days

A written scope, a fixed price, and a delivery date you can hold us to.

You get the feature list, the technical approach, the timeline, and the cost in writing before any code exists. If something is out of scope we say so now, not at invoice time.

  3. Design

    1–2 weeks

Screens you can review before they are expensive to change.

Wireframes first, then full visual design for every key screen — including the admin side, which is where most agencies stop designing and start improvising. You approve the design before development starts.

  4. Build

    3–10 weeks

Weekly builds on a staging link, so you are never guessing at progress.

You get a private staging URL from the first week and it updates as we go. Feedback happens continuously instead of arriving as a shock at handover.

  5. Launch & support

    Ongoing

We deploy it, train your team on it, and stay reachable afterwards.

Deployment, data migration, and a training session recorded for staff who join later. Every project includes a support window after launch, and an optional care plan after that.

Still unsure? Send us the problem in a sentence and we will tell you what it would take to solve it.

Usually yes, and we migrate your existing data in. We start by importing your records and reconciling the totals against your current system, so you can compare both before switching. Nobody should go live on trust alone.
